6 Tools I Actually Use to Run My Business

A peek behind the scenes at the tools I use daily to manage design projects, stay organized, and keep my creative business running smoothly.

Business Tools for Creative Entrepreneurs

Let’s be honest, there are a lot of tools out there promising to streamline your business, boost productivity, and keep your creativity flowing. I’ve tested more than I can count, but over time, I’ve found a small set of tools I actually use consistently.

These are the platforms and programs that help me stay organized, serve my clients, and grow my business without the overwhelm.

Why Choosing the Right Tools Matters

Your business systems are like the invisible backbone of your brand. They affect how you show up, how quickly you can deliver, and how easy it is to scale. You don’t need to use everything — you just need the right ones that work for you.

Here’s what’s currently in my toolkit.

My Go-To Business Tools

1. HoneyBook

HoneyBook is where I manage all my client communication, proposals, contracts, and payments. It helps me keep everything organized and professional from first inquiry to final invoice — and makes the process smooth for both me and the client.

Use it for:

  • Proposals, contracts, and invoicing
  • Lead tracking and client communication
  • Project timelines and status updates
  • Intake forms and questionnaires

2. Canva Pro

This is where design meets speed. Canva lets me quickly create branded templates, pitch decks, social graphics, and client deliverables especially for recurring design work.

Use it for:

  • Social media graphics
  • Mood boards and brand concepts
  • Client templates
  • Presentations and marketing materials

3. Google Workspace

Docs, Sheets, and Drive keep everything clean and shareable. I use it for collaboration, contracts, timelines, and storing brand files in shared folders.

Use it for:

  • Client deliverables
  • Collaborative writing and feedback
  • File storage and brand folders
  • Intake forms via Google Forms

4. ClickUp

ClickUp is my go-to for task management and keeping client projects on track. I organize everything from launch timelines to internal checklists here. It’s flexible, visual, and easy to adjust as needed.

Use it for:

  • Task tracking and deadlines
  • Workflow automations
  • Project timelines and status boards
  • Reusable templates for client work

5. Zoom

Simple, reliable, and essential. Whether I’m doing creative consultations or weekly coaching check-ins, Zoom helps me stay connected with clients anywhere.

Use it for:

  • Discovery calls
  • Coaching and consulting sessions
  • Screen shares for feedback or walkthroughs

6. Calendly

Calendly makes scheduling client calls and consultations effortless. It eliminates the back and forth of emails and ensures my availability stays updated in real time.

Use it for:

  • Booking creative consultations
  • Client onboarding calls
  • Coaching sessions or check-ins
  • Discovery calls with leads

Bonus Tools I Love

  • Loom: For quick client walkthroughs and tutorials
  • Pinterest: For client mood boards and brand discovery
  • Later: For planning and scheduling social posts when needed
  • Adobe Illustrator: For high-res logo and brand file creation

What Matters Most

No tool can replace clarity, consistency, or creativity — but the right ones can make your life easier and your business feel lighter. These tools help me stay focused on what matters most: doing great work and serving my clients well.

You don’t need to use what everyone else is using. Find the systems that fit your style, your process, and your goals.
